What is Provi Chat?
Provi Chat simplifies your communication by allowing you to chat with your Sales Reps while placing orders. Whether you’re inquiring about the status of your order, asking for a new tap handle or requesting samples, Provi Chat helps you to centralize communication while staying organized and saving time.
How do I access Provi Chat?
Easy to access. Easy to use.
To access Provi Chat, click on the white Chat Icon next to the Menu button in the upper right corner of any page you are on in Provi.
If you're not sure which rep you need to contact, you can also access Provi Chat through your order page:
- When logged into Provi, click on the Orders tab, next to Lists in the upper right corner
- Click on any order you want to review
- Next to Order Rep Information you will have the option to message your rep. Click Message Rep
- You will then be taken to your chat with that specific rep
How do I send a message?
Inquire about deals, check the status of an order, request samples and so much more!
- Click on New Message located underneath the search bar
- Search for and select your sales rep, then click Next to continue
Please note: Only Sales Reps with phone numbers and/or emails in Provi can be sent messages via Provi Chat. If you cannot find your Sales Rep then you will need to add their information.
- After clicking Next, your chat with your rep will be created
- When you’re finished crafting your message, click Send
Please note: All messages will be sent to your rep via SMS. When you send your first message, Provi assigns you a designated phone number for your retailer location. All messages to your reps will be sent from that phone number. Additionally, every order you place is transcribed into Provi Chat automatically, so you can easily reference them while chatting with your rep.
How do I respond to a message?
Never miss a message again!
Any time a rep sends you a message, you will be notified via email, as well as in the chat icon on the menu bar. Replying is easy.
You can reply to a message one of two ways. Here’s how:
In Provi Chat:
- Click on the white Chat Icon next to the Menu in the upper right corner of any page you are on in Provi
- All new messages will be located at the top of Provi Chat with an icon denoting the number of new messages sent
- Simply click on the message thread you would like to reply to, and click send when you are done crafting your message
In your Email:
- Once a rep has replied to a message, you will be notified via email.
- From here you can either reply to the email to respond, or login into Provi to respond to the message.
Please Note: Any messages you reply to via email will be sent directly to your rep's cell phone via the unique number you are given. You can access this number by clicking on the “i” icon next to Messages in the upper left corner of Provi Chat.
How do I manage my notification settings?
Customize your notifications for Provi Chat in the same way you would with any other notifications via Provi.
Getting too many notifications? No problem. Here’s how you can easily manage that:
- Login to Provi
- Click on the Menu button in the upper right corner of any page on Provi
- Click on Settings
- Click on Notifications in the left sidebar
- Under email notifications, switch the toggle off for “A distributor has sent you a new message”
- Now you will not receive email notifications if a rep sends you a message, but you will still receive notifications in Provi.
Can I view my orders in Provi Chat?
In addition to chatting with your rep, you can also view your order history right from Provi Chat
Once your Provi Chat number has been generated, you can view your order history for each Sales Rep in one of two ways. Here’s how:
- Click on any thread with a rep in which you would like to view your order history
- From there, click on the three dots in the upper right corner of the thread
- Click View All Orders
- You will then be navigated to the orders page where you can easily view or reference past orders
Why can't I find my Rep?
Having trouble finding your rep? There might be a few reasons why.
If you're unable to find your rep via search, that means they are either not associated with your account, or they don’t have a phone number listed in Provi. It’s important to note that only sales reps with phone numbers in Provi can be sent messages via Provi Chat.
If you have your rep's number and you would like to add it, you can do so from your account page.
